Does your business use Gmail? Do you find yourself in need of email templates perhaps for communications to prospects or clients to gain specific information? Well here’s a great tool I found to use email templates within Gmail.
There’s a little known feature in your Gmail account called labs. This is where Google creates new things and allows you to use / test them inside your Gmail. One of these is called Canned Responses.
Canned Responses is Google’s play on email templates. Here’s how to enable it:
- Open your Gmail account on a desktop computer or laptop (not on a mobile device)
- Click on the settings gear icon in Gmail
- On the top menu with the blue links, look for one that says labs and click on it
- Find Canned Responses and choose the “Enable” radio button
- Scroll to the bottom and click save changes

Alright so now that you have it enabled you’ll be back looking at your gmail inbox. To create a new template, simply click the new message button as if you were going to write a new email to someone. Write out your email, this will be the email we save as a template.
Now at the bottom right corner of your new message window you’ll see a little square with an arrow in it. Click on this and you’ll have a “Canned Responses” option. Click on this and you’ll have the option to save the email you have just drafted as a new canned response.
It’s just that simple. Now when you create a new message you’ll be able to use your new canned response using the same method above to choose your newly created template.
I’ve make loads of them and I don’t think there is any limitation on quantity so go nuts and turn all your commonly used emails into templates with Canned Responses.
